Pursuant to due call and notice thereof, a regular meeting of
the City Council of the City of Plymouth, Minnesota, was held on the
1st day of June , 1981.
The following members
were present: Acting Mayor Neils, Councilmembers Hoyt, Schneider and Threinen.
The following me ers were absent: Mayor Davenport
Councilmember Hoyt introduced the following Resolution and
moved its adoption:
RESOLUTION NO. 81- 362
RESOLUTION REVISING CITY COUNCIL POLICY RELATING
TO THE MAINTENANCE, PRESERVATION, REPRODUCTION
AND DISPOSAL OF PUBLIC RECORDS AND DOCUMENTS.
WHEREAS, the City Council adopted a policy relating to the maintenance of
public records through Resolution No. 77-425; and
WHEREAS, since that time, City practices and statutory requirements relating
to public documents have changed making it advisable to revise said policy;
NOW, THEREFORE, BE IT HEREBY RESOLVED by the City Council of the City of
Plymouth, Minnesota, that it should and hereby does revise the City Council
Policy relating to the maintenance, preservation, reproduction and disposal
of public records and documents by:
1. Revising from two to one year the length of time which City
Council minutes, agendas, ordinances and resolutions are
retained in original paper form.
2. By adding the sentence in the first paragraph reading:
"Copies of public documents, whether in original paper
for microfiche form shall be available for public
review by appointment during normal business hours."
3. By designating the City Clerk rather than the City Manager
or his/her designate as the individual authorized to implement
the Data Practices Act for the City of Plymouth.
The motion for the adoption of the foregoing Resolution was duly seconded by
Councilmember Schneider , and upon vote being taken thereon, the
following voted in favor thereof: Acting Neils Councilmembers Hoyt.
Schneider and Threinen
The following voted against or abstained:
None --
Whereupon the Resolution was declared duly passed and ad -opted.
